About the role
Position Overview:
The Communities Operations Specialist provides customer service, front-desk reception, and program support for two service lines, serving as a primary point of contact for clients, visitors, volunteers, drivers, and community members. This in-person, part-time role is responsible for welcoming guests, responding to inquiries, conducting initial assessments, coordinating referrals, managing transportation-related communications, and maintaining accurate documentation while ensuring compliance with agency policies, confidentiality standards, and HIPAA requirements.
Responsibilities:
- Serve as the First Point of Contact: Greet callers and in-person visitors contacting Jewish Family Service to learn about available programs and services.
- Reception & Visitor Management: Provide reception desk coverage with excellent customer service, welcoming guests in a warm, friendly, and professional manner. Monitor visitor access, ensure all guests follow visitor management procedures, issue visitor badges, notify staff of arriving guests, and maintain compliance with organizational policies regarding access control.
- Maintain the Reception Environment: Keep the reception and front lobby area tidy, organized, and presentable.
- Informed Program Navigation: Listen to callers' and visitors' needs to determine which JFS programs and resources are the best fit, including housing support, counseling, patient advocacy, transportation, and other community-based services. Answer general questions regarding programs and organization information.
- Intake & Assessment: Complete intake assessments, gather required information, and accurately document all interactions in the agency's client database.
- Program & Resource Expertise: Learn and maintain working knowledge of a wide range of JFS programs, eligibility requirements, and community resources to provide accurate information and referrals.
- Transportation Coordination: Assist older adults and other transportation program participants with scheduling rides, dispatching will-call rides, checking voucher balances, and answering questions about transportation services.
- High-Volume Multitasking: Handle incoming calls and front-desk inquiries independently while providing a positive, patient, and professional customer experience.
- Adaptability: Switch seamlessly between multiple programs, priorities, visitor walk-ins, and technology platforms throughout your shift.
- Triage & Routing: Provide support and information while identifying complex or urgent issues that require follow-up, ensuring accurate documentation and timely routing to the appropriate team.
- Confidentiality & Compliance: Maintain accurate records and ensure all client and visitor information is handled in accordance with HIPAA, agency confidentiality standards, and organizational safety procedures.
- Team Participation: Participate in team meetings, training opportunities, and process improvement initiatives.
- What to Expect: This position is ideal for someone who enjoys helping people, can quickly learn new information, and thrives in a fast-paced, in-person environment. In a single hour, you might greet a scheduled guest at the front desk, return a call to provide requested resources, complete an intake for JFS services, and assist an older adult with scheduling a ride to a medical appointment. Success in this role requires strong customer service skills, attention to detail, comfort using multiple software systems, a welcoming presence, and the ability to balance walk-in traffic with phone calls and administrative tasks throughout your shift.
