Under the direct supervision of the West Hollywood Comprehensive Service Center (WHCSC) Program Director, the Per Diem Support Staff member will provide front desk, reception, customer service, translation, and general office support as needed. This position may support services at the WHCSC office and/or the Plummer Park front desk and is intended to help ensure visitors, clients, and callers receive timely, professional, and welcoming assistance.

QUALIFICATIONS:

  • 1-year experience in an office environment
  • Bilingual in both written and spoken Russian and English highly desired
  • Excellent computer skills and experience with Microsoft applications preferred
  • Exceptional customer service and communication skills
  • Excellent phone presence, etiquette and professionalism
  • Communicate effectively and tactfully with persons on all levels (in person, email and phone)
  • Outgoing, friendly, and sensitive to the needs of people
  • Must be able to multi-task while remaining flexible with attention to detail
  • Experience with basic data entry is preferred
  • Knowledge of all basic office equipment required
  • Must be able to function independently, work effectively with a wide variety of individuals, and maintain confidentiality of client information
  • Culturally sensitive and able to work with a multicultural client/customer population
  • Must pass a criminal background check (Live Scan fingerprinting) prior to beginning employment

RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

  • Greet and direct visitors with a warm welcome
  • Manage the front desk reception area, including answering phone calls and assisting visitors, clients, and customers
  • Provide reception support and translation assistance at the Plummer Park front desk, as needed
  • Receive drop-in visitors and provide general directions, information, and assistance
  • Screen visitors, telephone calls, and mail for program staff, giving information where judgment, knowledge, confidentiality, and interpretation of policies and procedures are necessary
  • Manage client appointment schedules
  • Use the client information management system to enter, update, and maintain accurate client information, as needed
  • Remain informed about current WHCSC programs, events, services, and activities
  • Familiar with the daily schedule for the entire building provided by the Park Office
  • Maintain cooperative working relationships with WHCSC staff, Park Office staff, and community partners
  • Provide backup support for WHCSC office support staff when needed
  • Other related duties as assigned

This is a per diem position intended to provide coverage on an as-needed basis for employee absences, including sick leave, vacation leave, and other temporary staffing needs. Hours are not guaranteed and will vary based on program and operational requirements.
